Position Title: Administration Officer

Reports to: Head of Finance & Administration

The purpose of this position is to provide a full range of administration support to the Union Secretary and the Head of Finance and Administration.  This will include Human Resources services to BUV management and staff, which contributes to the accomplishment of HR practices and objectives that will provide an employee-oriented, high performance culture that emphasizes empowerment, productivity and standards, goal attainment, and the recruitment and on-going development of a superior workforce.

      A - BUV Administration
Organise monthly BUV Union Council and BUV Audit & Risk Committee meetings
manage submission of papers for council/committee’s review
take minutes at BUV Union Council and Audit and Risk meetings (two evenings per month)
book venues and catering if appropriate
Maintain a register of BUV appointments to the boards of other organisations. Administer the process to appoint these board members.
Maintain a register of all significant BUV contracts/ legal proceedings. Notify appropriate leaders of milestone/action dates related to these agreements/ proceedings.
File and archive Union Council/ legal documents.
Administer the official process for churches to ‘affiliate’ with the BUV.
Maintain the handbook for Union Council members and update changes to BUV policies.
Administer process to obtain Union Council members’ sign-off on various governance documents (including documents executed under seal).
Monitor and update the BUV’s registration details with regulatory authorities.
Provide accurate and timely guidance and training to constituent churches and BUV agencies on ‘Schedule B’ property related transactions, governance and other administrative matters.
Manage the administration / legal process to execute ‘Schedule B’ property related transactions.
Maintain appropriate property records, including a register of all BUV property titles.
Any other administrative support required by the Head of Finance & Administration.

       B - Human Resources
Recruitment of staff which includes; creating and developing job descriptions, assisting in preparing advertisements, screening application forms, short-listing  candidates, assisting in interviewing, performing police and working with children checks and assisting in selection.
Develop HR policies on issues like working conditions, equal opportunities, performance, management, absence management, and disciplinary procedures. Maintain HR policies.
Advise on pay including employee benefits and promotion, Stipends and other issues on remuneration.
Coordinate the completion of staff performance & development reviews and advise on appropriate payment levels, career development and performance management.
Maintain staff related records.
Ensure that constituent churches receive accurate and timely responses to queries related to recommended HR practices or other aspects of employment legislation.
Interpret and notify employees on employment legislation.
Contribute to the development of HR strategic plans in terms of skill and number levels in considerations with long-term and immediate staff requirements.
Listen to grievances of employees and assist Management in implementing appropriate measures.
Conduct exit interviews.
Plan and deliver training occasionally, including induction programs for new hires.

Professional Qualifications / Experience
Tertiary qualification in Administration / Human Resources or minimum three years equivalent experience
Experience in real estate administration desirable

You will be involved on a pro bono basis.
This role includes, but is not limited to, attending three to four board meetings a year.

These take place on weekends in Melbourne CBD, Victoria (or 20km max from this area) for three to four hours. It is possible to have you on the board, even if you reside interstate; you will need to pay for your own travel to meetings. Video conferencing is also possible at times.

You will have a good understanding that Pink Cross is bound by government regulations regarding charitable organisations (for example ACNC rules). Any board member must have an understanding of Pink Cross as a recent start-up - seeking to grow in its work and capacity.

These skills will be paired with a strong Christian belief in redemption from pornography addiction and educated compassion for prostituted people.

In your professional life you may be outstanding in your field of expertise, but called to make a difference in a dark place, where few go and show the care and love of Jesus to those enslaved by this lifestyle.

You will be strongly encouraged to recruit others to serve as volunteers or take part directly in our work, which our president Geneviève has done since the founding of Pink Cross Foundation Australia in 2010.

The Board is the legal authority for Pink Cross Foundation Australia. As a board member, a Director acts in a position of trust for the community and is responsible for effective governance of Pink Cross.

- Commitment to the work of Pink Cross
- Knowledge and skills in one or  more areas of board governance: policy, finance, programs and personnel
-Signing authority on board’s behalf for financial and legal purposes
- Willingness to serve on at least one committee
- Attendance at quarterly Board meetings
 -Attendance at Annual General Meeting
-Be informed of the services provided by Pink Cross and publicly support them
-Prepare for and participate in the discussions and the deliberations of the Board
-To foster a positive working relationship with other Board members, and Pink Cross volunteers and staff
-Be aware and abstain from any conflict of interest
